Since the beginning of the winter semester 2022/23, all doors in the HfG building have been equipped with a new electronic locking system. The previously used keychips and keys have been replaced by chip cards, which also function as employee ID cards and student ID cards.

To keep the card active, we ask you to open one of the four entrance doors to the university with your card 1-2 times a month.

• Wrong card handling: Try again: Lift card in front of device without wallet, etc.; Lift card 1 cm away from device.

• Card expired: Activate card at update terminal (5-6 sec.)

• Not unlocked: Mail to see "Access to the building

16. What data is collected?

• The chip card is in no way used for monitoring or time recording of employees or students, but for the security of the building. To ensure that the data is handled in a trustworthy manner and thus in compliance with data protection regulations, a service agreement has been concluded between the HfG and the HfG staff council.
• Only the card number is recorded on the card. After termination of the employment relationship or studies at the HfG, the personal data (first name, last name, matriculation number) will be deleted immediately by the central administrators in the locking system.

1. MK work rooms

MK-workrooms-Team can only be reached via: Below is a list of the rooms that MKROOMS can/will switch:

If these details are missing, we will unfortunately not be able to process the request. We only switch rooms with RXXX numbers (not names). Please check this yourself before sending the e-mail and submit a new request if necessary. Due to time restrictions, we are unable to answer requests in the event of errors or unclear information! Special access times (HiWi, weekend and night authorisation) must already be attached.

2. Technical rooms (access is granted up to +2 semester end):

Access requests to these technical rooms MK-AVM-LAB are automatically granted here by Nico Hain or ignored in the absence of a basic technical certificate for these rooms.

This guarantees that the necessary access authorisation has been granted by the responsible persons. If necessary, they can also specify a longer duration for the activation. If these rooms are part of a collective access request, these special rooms are ignored and programmed for the next activation time by the responsible employee when submitted.

3. MK project rooms (access is granted up to +2 semester ending dates):

345, 346, 347, 359, 361, 362, 365:

These are rooms with special (diploma or pre-diploma project) access and usage authorisation. We require the approval of at least one supervising lecturer. The professors / academic associates must forward the access request to us directly (). (keep all necessary persons in cc:). Places that become available will be given in the following order: Diploma, pre-diploma, space required. The rooms are equipped with a work table, chair and shelf of 5 square meters each. We therefore also require details of the space required in 5 square meter units. If this is missing, we will proceed on the basis of one unit. We would be very pleased to receive further helpful information so that we can better estimate the required space and usage. Thank you.

Automatic activation times: The cards are automatically programmed at the following times after access authorisation / weekend permission or similar has been granted and can be updated at the terminal on the following day at the latest:

Lecture period = Wednesdays weekly Lecture-free period = Wednesdays fortnightly in even weeks (e.g.: 2,4,6,...)

With the request for support: In order to allocate our resources to teaching and project support, as well as to the further development of the university, we ask you to check the request on your own responsibility before sending it (and, if necessary, to correct it afterwards after submitting and receiving this information).

It is also important to follow the specified communication channels (special access authorisations) (no indirect e-mails to addresses other than those specified here, personal enquiries in-house, telephone calls, etc.). Please avoid multiple requests, requests for rooms that are already on the card (this happens regularly and is a waste of resources), changing programming times (Wednesdays - see above - ("need access tomorrow")). The same is for additional enquiries. Thank you very much.

Important: You will not receive a separate e-mail for activation. Please update your card accordingly (see above) at the terminal yourself.
