As there will be new student ID cards from October 2021, which will also serve as a key card, you will find some questions and answers here.

FAQ about the HfG Card for students

**How do I get my HfG Card?

Your first HfG-Card will be issued automatically once you have signed your consent to data processing. You can obtain your new HfG Card from the HfG Karlsruhe Student Office during the specified opening hours. There may be another issuing office.

Loss/replacement of the HfG-Card

Please report the loss of your HfG-Card immediately to the Student Office (). The issue of a replacement card costs 20 EUR.

Questions about the access function

The HfG-Card gives you access to the building and to the rooms you are authorized to use. All information can be found here

Questions about the payment function

With the HfG-Card you can use the cashless payment function in the canteens and cafeterias of the Studierendenwerk Karlsruhe. New credit can be loaded onto the HfG-Card at the Studierendenwerk Karlsruhe top-up machines. It is also possible to automatically top up your KIT-Card at the cash registers of the Studierendenwerk Karlsruhe by participating in the so-called autoload procedure, e.g. if you have too little credit to pay at one of the cash registers. Further information can be found here: https://www.sw-ka.de/de/essen/bargeldloses_zahlsystem/ Unfortunately, it is not possible to top up your card online or by bank transfer.

**How can the HfG-Card be used on public transport?

As with the old student ID card, the HfG Card can be used on the KVV network Monday to Friday from 6 p.m. to 6 a.m. on the following day and all day on Saturdays, Sundays and public holidays. You must carry:

  • The student certificate with the KVV certificate printed on it
  • The HfG-Card
  • An official photo ID

The HfG Card for students is equipped with the following features of the "European Student Card (ESC)":

  • European Student Identifier (ESI) with country code according to Din/ISO, EU-wide unique "Participant Identification Code (PIC)" of the HfG and matriculation number as unique identifier within the HfG
  • QR code: The stored URL contains the EU-wide unique number, the "European Student Card Number". In a later expansion stage, students will be able to register on a portal and thus enable authorized institutions to determine the validity of the ESC using this URL.
  • Hologram to increase counterfeit protection

Beurlaubung

Students can apply for a leave of absence for an important reason. Please apply for a leave of absence during the re-registration/matriculation period, but at the latest before the start of the semester (April 1st for the summer semester or October 1st for the winter semester).


Exmatriculation

Students can apply for de-registration at any time, after completing their studies at the HfG Karlsruhe or for other reasons. Exmatriculation takes place after a proper application or by ex officio exmatriculation.

Re-registration

In order to continue your studies at the HfG Karlsruhe, you must re-register for the following semester. In the course of re-registration, the semester fees must be paid on time.

Förderung

BAföG (state education funding)

BAföG enables young adults to complete a course of training or study - even if their parents are unable to finance this training. BAföG stands for the Federal Training Assistance Act and colloquially refers to financial support that you can apply for from the Office for Training Assistance if you are studying. It is money from the state that you receive in monthly payments upon application and under certain conditions. Half of this monthly amount is a gift and only the other half has to be paid back later, i.e. it is an interest-free loan.

Regulations for use

According to the latest Corona Ordinance of the State of Baden-Württemberg, it is only possible to use facilities on site if absolutely necessary and under very strict conditions. The Regulations for the use of the facilities of the HfG Karlsruhe during the Corona crisis contains all new rules for the use of the workshops.

Reimbursement of expenses

Expenses for goods or services can be reimbursed under certain conditions. These can be found in the information sheet. If you wish to be reimbursed, please complete the application for reimbursement of expenses. The Finance department is responsible for checking this. They will be happy to advise you if you have any questions.

Travel application

Students must submit a travel application for trips/journeys by students that take place on behalf of HfG Karlsruhe but not as part of an excursion. The trip/journey must be approved by an HfG employee/professor prior to departure, otherwise the student will not be insured by the HfG. Please submit the travel expense receipts (e.g. DB ticket) together with the travel authorization as reimbursement of expenses to the Accounting Department.

Quality assurance funds (QSM)

Every year, the AStA receives funding from the state of Baden-Württemberg (quality assurance funds, QSM for short). We are allowed to use these funds for so-called „measures that serve to ensure the quality of studies and teaching“.
